We are currently seeking a CAFM Administrator for our client in La Jolla, CA:
Database/System Administration & Data Integrity
Manage the data provided by FS Planning relative to headcount; space and building capacities, and use data
Participate in the development and maintenance of data management standards and conventions, data dictionaries, and data element naming standards
Participate in the development of standards for data flow to and from CAFM
Test to insure data integrity; perform periodic physical verification of data; troubleshooting
Network with user groups to leverage data verification
Resolve data discrepancies
Monitor database performance and outages
CAFM Drawings
Review changes to as-builts; review polyline revision/creation at the room level; classify space according to proper standards and procedures; identify capacity information at the room level; maintain cost center information at the room level
Administer the measurement of space according to BOMA standards, administer CAFM database standards and calculation routines that have been customized for our purposes
Manage change management process within system
Liaise with Facilities Maintenance & Engineering (FM&E) CAD staff to align update work, project work and in field verifications
Build & maintain drawing file structure for scenario planning
Support process to incorporate architectural and furniture changes into record drawings set to be used as base drawings for CAFM files and as records of facility layout
CAFM Queries and Reporting
Maintain monthly reports, occupancy metrics, churn rate
Prepare ad hoc reports
Participate in the development of global reporting
Provide metrics for internal benchmarking
End-User Support
Develop and distribute any necessary training materials and conduct training for all CAFM users
Provide support for database users to enable them to make effective and efficient use of the systems
Customize for site Global System Documentation and Policies & Procedures Manual
Support for Facilities Solutions
Provide graphic support (stacks, spider diagrams, block diagrams) for scenario planning
Participate on global transition team for new system rollout/ upgrades
Analyze current processes and develop/recommend improvements
Recognize opportunities to share/distribute/utilize CAFM data and drawings with the goal to improve tactical and strategic planning and facilities operations, i.e. data warehouses
Assist Space Planning team with other projects as required
Principle Relationships Internal
Champion excellent communication within FS and act as liaison between internal service providers (FM&E, Environmental Health & Safety, Informatics, etc.), customers, and management. Network with global CAFM teams External
Coordinate and interface with outside vendors, end users, other department team members, and service providers to resolve issuesdf-tc


Experience/Skills
Position Requirements

BS degree in Information Systems and/or 5 yrs of related experience
Proficient in CAFM, with knowledge of relational database systems
Working knowledge in AutoCad 2002
Experience with database reporting tools such as Business Objects
Strong Project Management skills including experience with project teams and an understanding of process flows within projects
Competency in space measurement techniques according to BOMA standards
Real Estate & Facility Management experience a plus - understanding of Facilities, Real Estate and Asset Management industry and practices for strategic and tactical space planning, occupancy, allocation management and move management
Knowledge of best practice document control processes and standards
Experience in Process and Procedure Documentation
Excellent interpersonal, oral and written communication skills
Problem solving and analytical skills
Must be able to balance technical issues and the ability to work with others as part of a team
Detail oriented and strong organizational skills
Experience in communicating and collaborating with all levels of corporate management
Customer Service orientation and relationship building
Manage and administer a network-based CAFM system for 1 million SF of space. The database facilitates all moves/adds/changes in occupancy, provides site-wide accounting for space management, and is the basis for strategic facilities planning. The CAFM Administrator provides services related to the maintenance of related facilities and real estate data and Facilities Solutions (FS) as-built AutoCAD drawings.
Proficient in Access, Excel, Word, Power Point, Project and Visio.
