Position Description
Manages the development and implementation process of a company's services involving departmental or cross-functional teams focused on the delivery of new or existing projects. Plans and directs schedules and may monitor budget/spending. Monitors the project from initiation through delivery. Organizes interdepartmental activities ensuring completion of the project on schedule and within budget constraints. This position is characterized by its management of specific projects that have a distinct beginning and end.
Primary responsibilities for role include:
* Integration Management - project plan development, execution and change control.
* Scope Management - project initiation, scope definition, planning, verification and change control.
* Cost Management - resource planning, cost estimating, budgeting, and cost control.
* Communications Management - communications planning, information distribution, status reporting.
* Procurement Management - assist in procurement planning, solicitation planning, source selection, contract
administration and closeout.
This position is also responsible for providing administrative management and support for members of the corporate marketing leadership team of the corporation. This person will perform all administrative responsibilities such as travel arrangements, setting up meetings, ordering office supplies, processing bills, typing, preparing spreadsheets, preparing presentations, email, preparing meeting minutes, maintaining detailed organization charts, etc. This position will be expected to handle details of a highly confidential and critical nature. This position will be asked to manage certain administrative projects requiring research and information preparation. The role will require interaction and partnering with various users, technical team members, hardware and software vendors, and consultants. Professional representation of the corporation is required. Candidate will be expected to relieve the leadership of complex details and advanced administrative duties.
Position Requirements
Seven or more years of executive level administrative support
Must have advanced skills with MS Office Suite (Word, Excel and PowerPoint) Share Point, MS Access and MS Project would be a plus.
Must have a working knowledge of Outlook and be proficient in scheduling meetings, maintaining contacts list and processing e-mails.
Four years experience building presentations in a tool such as PowerPoint or Visio. This position also will require use of Visio software but candidate is not expected to have this skill at the time of hire. Advanced skills in PowerPoint are required.
Three plus years of advanced spreadsheet experience (including formatting, formulas, charts, etc.). The person is expected to be able to know office products well enough to teach others how to be effective in them. Knowledge of pivot tables is a big plus.
Two years experience scheduling global travel is required.
Solid experience with the use of web and browser tools. This person should be familiar with doing research on the internet.
Experience with accounts payable and other general business practices
Clear, concise, comprehensive written/verbal communicator
Candidate must be very organized and detailed oriented, able to multi task, and follow through on action items. The person must be self-organizing and self-starting. The person must have experience taking administrative tasks proactively and without direction, determine the correct direction, working with people in a win-win fashion, and get the results we need.
Candidate must possess excellent written and verbal communications skills, and be able to handle tense situations in a tactful and professional manner. Interpersonal skills must be mature and experienced. The person must possess integrity and full disclosure principles.
The individual must be a team player and very solutions oriented.
* KNOWLEDGE: Learns to use professional concepts. Applies company policies and procedures to resolve routine issues.
* JOB COMPLEXITY: Works on problems of limited scope. Follows standard practices and procedures in analyzing situations or data from which answers can be readily obtained. Contact with others is primarily internal.
* SUPERVISION: Normally receives detailed instructions on all work.
* EXPERIENCE: Administrative experience in a fast paced environment highly desired
Associates Degree required, Bachelors degree desired
