Description
Provides project management, administrative, financial, and/or engineering support and coordination to a complex contract, project or task(s) or ACS unit. Duties may include contract accounting and reporting, payroll/personnel processing, maintenance, and reporting, contract administration, purchasing, facility leasing, property management and service administration, health care delivery or claims management or adjudication etc. This is a fully qualified professional who applies a broad knowledge of project management and administrative support concepts, practices and procedures to a contract, project, task(s) or similar stand-alone group. Incumbents may be located off-site/at a client site. Works under general supervision with results reviewed for completeness and accuracy. The Project Support Specialist may have responsibility for giving functional direction to subordinate clerical and administrative staff. Work involves considerable coordination and interface with client and ACS staff.

REPRESENTATIVE PRINCIPAL DUTIES AND RESPONSIBILITIES:

May track costs and performance, service levels or other metrics required to ensure project goals and objectives are met.

May develop and implement records management program to ensure compliance with program.

May evaluate applications, records, and documents to determine relevant eligibility information.

May prepare and initiate contract billing and provide supporting documentation/reporting to secure payment for services and other deliverables provided to client.

Contract administration tasks to include estimates of materials, equipment, production costs, performance requirements and delivery schedules. Prepares bids, specifications, test and progress reports. Monitors applicability of Service Level Agreements.

May oversee personnel records and administrative processing of contract employees, including new hire orientation, benefit administration, security administration, training arrangements, travel/expense authorizations, salary and performance evaluations, terminations, etc.

Ensures that required forms and notifications are approved and processed and that required reports are updated to reflect changes.

May be responsible for facility administration, including space planning and allocation/moves. Administers building, facility, and equipment leasing, maintenance and/or repair arrangements, including telecommunications, mail, custodial, equipment, printing and repro services. Coordinates, as necessary, with ACS and client representatives, as well as outside vendors.

May be involved in purchasing equipment and supplies: conducts cost/benefit analyses, obtains quotes, negotiates with vendors, and initiates purchase orders for both task and overhead items.

May conduct/compile/make special analyses, reports and presentations of findings, recommendations, process improvements or statutory changes, budgets, performance, forecasts, etc., as required.

May introduce/implement administrative or process or financial control procedures that improve the effective operation of the unit.

Applies defined policies to determine whether processes comply with laws, regulations, or standards.df-tc
