Work schedule is 30 hours per week/5 days week

Position Summary
Provides secretarial and administrative support to the Health Care Services Chief of Staff

Key Accountabilities
  • Performs research online and with print media to identify information relevant to numerous HCS initiatives and other special projects
  • Prepares and revises PowerPoint presentations under the direction of the HCS Chief of Staff
  • Works independently to perform administrative processing tasks, such as opening and routing incoming mail, ordering supplies, copying data, posting data in logs, compiling records, and distributing documents
  • May prepare and process business unit or function bills, expense reports, purchase orders
  • Functions as liaison between the Chief of Staff and various HCS divisions and departments: demonstrates in-depth knowledge of the HCS function or business unit, and provides and exchanges information, answers questions, in person, on the telephone, or using email
  • May open leader's email and develop responses to routine inquiries
  • May manage leader's calendar using Outlook
  • Uses various software applications to compose and reply to email, to enter and edit data, to perform basic internet research, and information retrieval, to develop correspondence and reports, to initiate queries, perform calculations and manipulate data
  • Schedule and coordinate meetings, events, and conference calls
  • Operates office equipment including computers, calculators, fax machines, and copiers, and handles routine upkeep tasks
  • May coordinate travel arrangements
  • May administer a project or process as needed
  • Serves as back-up administrative support to the Executive Vice President, Health Care Services

Experience
  • High school education or equivalent (GED), Associates Degree preferred
  • 2-5 years of office secretarial experience to include computer and software proficiency in Powerpoint, Word, Excel, Outlook and Visio, types minimum of 50 wpm
  • strong organizational, oral and written communications skills.
